How to Pilot Face Recognition Attendance Before Rolling It Out

A step-by-step pilot plan covering entry points, shift rules, record corrections and payroll exports before a wider attendance rollout.

Document the attendance rules first

List shift start and end times, overnight shifts, grace periods, breaks and how overtime is approved. Decide how to handle a person entering several times in one day. The same camera event can mean different things under different policies. Ask payroll and operations to agree the expected result for a small set of realistic working days before configuring the software. This avoids discovering conflicting policies during payroll processing.

Choose a representative entry point

Use an entrance with the lighting, traffic and camera placement you expect during normal use. Test busy arrivals, people walking together and changes in appearance that are normal for your workplace. Keep an alternative attendance method available during evaluation. A successful quiet-office demonstration does not prove the same setup will work at a crowded shift change. Review the actual records produced and investigate both missed and incorrect matches.

Keep an independent record during the pilot

Run the pilot alongside the current attendance process for a defined period. Compare records employee by employee and day by day, using an agreed method for resolving disagreements. A camera event is evidence for an attendance record, not automatically a final payroll decision. Document who may correct a record, what supporting information is required and how the correction is recorded so staff can challenge mistakes through a clear process.

Test the export with the payroll team

Open the exported file in the real downstream workflow. Check employee identifiers, date formats, time zones, overnight shifts and how absence or incomplete days appear. Verify totals against a small set of manually reviewed examples before using them more widely. If an integration is needed, confirm the exact fields and access requirements. A file described as payroll-ready still needs to match the organization’s own payroll process and approval rules.

Decide what justifies expansion

Review recognition errors, correction workload, time spent preparing reports and staff feedback. Agree who maintains enrollment, manages departures and reviews access to attendance data. Establish a data-handling process suited to your organization before wider use. FaceTrack can be evaluated through its trial; bring your workforce size, operating systems, entry-point details and shift examples to the discussion. Expand only when the pilot shows that both the capture process and the administrative workflow are suitable.
