Business Process Automation: How to Choose Your First Agent Workflow
A practical selection checklist for automating enquiries, documents and approvals with agents—without losing control of exceptions.
Choose a repeated handoff with a clear owner
Start with a task your team repeats frequently: copying enquiry details into a CRM, collecting missing information from a document, or preparing an approval request. Write down its trigger, inputs, output and owner. A useful first workflow has a clear completion condition. “Improve operations” is too broad; “prepare a complete enquiry record for review” gives both the team and the implementation partner something specific to evaluate.
Separate fixed rules from work that needs interpretation
Some steps need no AI. Required-field checks, exact calculations and routing based on a known customer ID can use ordinary software rules. Agents are more useful where information arrives in different formats or needs interpretation. For an enquiry workflow, an agent might extract the requested service and summarize the message while deterministic validation checks the email format. Keep the two responsibilities explicit so mistakes can be traced and corrected.
Map the exception path before connecting systems
Take a sample of recent requests and include difficult cases: missing attachments, duplicate submissions, conflicting details and messages outside your service area. Decide what the workflow should do in each case. An agent should not guess a missing purchase amount or silently invent a customer record. Route uncertain items to a named person with the original input, a proposed next step and a clear reason for review.
Measure a baseline and define a pilot
Record the time people currently spend per request, the number of manual handoffs, and how often incomplete records need to be reopened. Use the same definitions during the pilot. For example, count an enquiry as complete only when all required fields are verified, rather than when a draft is generated. Compare representative busy and quiet periods. Include review time, corrections and operating costs when deciding whether the workflow is worthwhile.
Prepare a useful implementation brief
Bring a sample input with sensitive data removed, the systems involved, who owns access to each system, expected request volume and the actions that require approval. Identify the person who will operate the workflow after launch. With InferxSpace, we scope agent automation around these business requirements and confirm integrations during discovery. A good first discussion ends with a bounded workflow and a testable outcome, not a promise to automate the entire company.
