Define the record you need
Document automation starts with the output, not the file. Identify which fields your team needs, how they are formatted and where they will be used. Provide anonymized examples covering the layouts and quality you normally receive. Scans, tables and inconsistent naming can change the implementation effort, so these variations belong in the pilot sample.
Separate extraction from validation
A field extracted from a document is not automatically correct. Agree checks for required values, duplicates and inconsistencies, and decide which values need a reviewer. Where useful and feasible, preserve a reference to the source so reviewers can inspect the evidence. Uncertain or unreadable inputs should enter an exception path instead of silently becoming final records.
Prepare the destination
Structured output can be prepared for an agreed spreadsheet, database or business system. Direct updates depend on available interfaces and authorization.
